Administrative Assistant

FLSA: Non-Exempt

Grade Assignment: NX.07/NX.08

JOB LOCATION:       Leer South Mining Complex, Philippi, WV

OVERALL JOB PURPOSE:

 To perform a wide range of administrative, clerical, and technical support functions for the General Manager and direct reports.

RESPONSIBILITIES INCLUDE:

• Receive phone calls and correspondence - handle routine matters, vet and direct calls as needed to appropriate department
• Have the ability to successfully interface with personnel at all levels of the organization
• Arrange for travel, and assist in developing travel agendas
• Maintain meetingcalendar and meeting preparations, communicate with necessary parties when scheduled.
• Perform payroll backup function on an as-needed basis
• Perform accounts payable backup function on an as-needed basis
• Perform clerical duties such as duplicating, filing, mailings, and routine tasks as requested
• Maintain vehicle files, prepare monthly vehicle mileage reports, and license vehicles annually
• Assist HR Department
• Maintain and coordinate updated spreadsheets of employee uniform sizing information, employee contact information, and other data as needed.
• Community Relations

PREFERRED EDUCATION & EXPERIENCE:

• Minimum of a High School diploma
• Associate degree or equivalent work experience preferred
• Exceptional organization skills
• Excellent interpersonal skills
• Excellent written and oral communication skills
• Competency with Microsoft Word, Excel, and PowerPoint
• Ability to maintain confidentiality
• Ability to multi-task
• Ability to work with minimal supervision
• Familiarization with basic accounting principles
• Mature work ethic
